We run a small online training business in Georgia with 8 employees, and WhatsApp is basically where most of our customer conversations happen. We get somewhere around 70–100 WhatsApp conversations a week from new enquiries, existing customers and people asking about upcoming programmes. We're now looking for a simple CRM that can properly bring those conversations into one place. The main thing we need is to be able to see the messages sent and received through our WhatsApp Business API, preferably directly against the customer's contact record. If someone else on the team takes over a conversation, they should be able to see the previous messages without asking the customer to repeat everything. We're currently looking at Pipedrive, but I'm still trying to understand how well its WhatsApp integration handles the full conversation history and whether it works the way we're imagining. I've also looked at using Zapier to connect WhatsApp and the CRM, but I'm not sure whether that would actually give us a proper shared conversation inbox or just move individual pieces of data between the two systems. We started trying to organise this properly in late 2025, but we've been going back and forth because I don't want to build a complicated setup just to discover that the WhatsApp conversations aren't properly visible inside the CRM. • “If everything runs on WhatsApp, the CRM question is really three separate ones: Inbox - can several people share one WABA without stealing chats / losing assignment? CRM fields - do you need WhatsApp threads mirrored into HubSpot/Salesforce, or is WhatsApp the system of record? API vs App - Cloud API (templates, quality rating, BSP) vs WhatsApp Business App (no real multi-agent). Most pain”

  • “You can try TimelinesAI to sync WhatsApp chats from multiple accounts to the CRM of your choice. Another CRM you can consider is folk. Both affiliate links.”

  • “Zapier can move events, but it will not automatically create the shared-inbox experience you are describing. I’d prioritize an official WhatsApp Business integration with team assignment, complete transcript history, contact matching, templates, consent tracking, and clear ownership. Test one customer using multiple numbers and conversations reassigned between employees. Also verify what happens”
